Creating backups is vital, as you never know what is going to happen. Accidents occur all the time and a fair amount of the time it includes your laptop. There are huge advantages to having a laptop, the first being their mobility and easy transportation. You can carry your work home with you for convenience, or you can work in a coffee shop while sipping your café latte.

The problem, though, is that with a laptop you do run more of a risk of physical damage and theft than you do with your PC that sits on your desk all day. There are numerous occasions where laptops run in the high-risk category. Because most laptops get carried around in a standard type bag, it is easy for thieves to know what's inside.

The high-risk zones are generally at the airport and your car. At the airport, when you put the bag on the conveyer belt and you walk through the metal detector, just the slightest confusion or delay and a person could easily pick your bag up and walk off with it. If you leave your laptop in a bag on the passenger's seat of your car, people passing by easily notice it. If left long enough, the chances are that someone is going to take your laptop. It is simple to just break the window, reach in and grab the bag. Plus they know that it's not filled with useless make-up because of the shape of the bag.

Laptop companies are coming out with different style bags to compensate for this. However, physical damage is something that you also have to look into. It's easy to just fling your bag in the corner or toss it onto the floor. Sitting in the sun for a long time period can cause sun damage, whether your laptop is in use or whether you've just left it on the patio table or in the backseat of your car. Using your laptop on carpet, a car seat or even on your lap can cover the laptops ability to breathe and cause overheating problems that can cost you dearly.

If you're walking down the street and it starts to rain, your automatic reaction may be to use your bag as a temp umbrella, and often the bag is the one containing your laptop. Drinking coffee or tea while working might keep you awake, but one slam of a door or sudden sound and that hot beverage is all over your keyboard. With laptops this is especially damaging, as very delicate electronic components are right under the keyboard. A telephone ring, a friend slapping you on the back to get your attention, or even a sudden sneeze will cause the same result.

Random things also have a tendency to happen…well, randomly. There have been stories of people getting frustrated with work and feeling the need to smack their head repetitively against the screen while making groaning noises. Unfortunately if this is a habit type of frustration, chances are sooner or later, after a couple of smacks, a horrible cracking noise is going to come out of the joints.

Taking general frustration out on your laptop is probably going to cause the same result. Something that happens a bit more often is that old key in the car door problem. You are carrying your laptop a stack of files and possibly your lunch box, wallet and styrofoam cup filled to the top with coffee. Once at your car, chances are, your hands are full and trying to remove your car keys from either your back pocket or mouth, with your foot is going to be a bit complicated. Putting everything down on top of your car is an option. But once you have the door open and you have flung in the paper work, you are too exhausted to realize, once you are starting the car, that your laptop (and possibly your coffee cup) is still on the roof.

There are plenty of stories of people dropping their phones in the toilet, but fortunately, none about laptops. Although there are some cases where, after you've flung your bag down at home after a hard days work, your delightful five-year-old child has discovered your laptop. Before you realize it there are sticky fingerprints all over the screen and jelly teddy bears are stuck in between the keys, which have been flooded with soda.

The fact is, anything can happen with your laptop. Because your laptop has the advantage of being taken out of the office, accidents will happen. But before returning to your PC that sits on your desk, which hasn't seen beyond the four walls of the room it sits in, there is another simple option.

Although there is nothing you can do about people tripping over your laptop when they walk past, or stop thieves from stealing it, you can save the data that's on it. And your data is probably more important than the plastic bits and pieces of the laptop itself.

Doing a backup is fairly simple to do and there are several means of achieving this. We recommend a two-fold process for optimum results and minimum potential down-time.

  1. For quick backups of small amounts of data (i.e. Client Data, presentations, spread sheets etc.) the most common method is using a USB stick (sometimes called a jump-drive, thumb-drive or flash-drive) or CD/DVD. You’ll want to employ this method each time you have new data to save that you would be upset about losing. It’s fast, easy and you’ll thank yourself in the long run. Each time you do a full system backup you can wipe out the data on your USB stick or re-writeable DVD, so that only the current information is stored on that device.
  2. Full system backups are your life line in the event of an accident. It is in essence a duplicate copy of all the software and files that are stored on your hard drive. We recommend doing a full system backup once per month using an external hard drive device.

You can do a full system backup more often if you wish, but we feel it is wise to keep a small distance between full backups. The reason for this is that you may not notice a software glitch in your system right away. But once you have saved that glitch in a backup, it is difficult if not impossible to go back to the way it was without uninstalling and then reinstalling your software. A month, in most cases, will give you sufficient time to notice if something is not acting quite right, and then if you use a system like our Safety Drives, that use BounceBack software, you can “bounce back” to your last backup and often get rid of the software glitch.

The next important thing is that it is a good idea to keep your backup device someplace safe, like in a fire resistant safe or another secure location. If you keep your backup device and the laptop together, it most likely would not serve any useful purpose at all.

Simply creating backups on a regular basis will mean that when accidents happen at least you still have your important work saved in another secure place. Unless of course, losing your work was the point behind the "accident" in the first place!?!?!?

Bounce Back

This option is for a CMS Hard Drive with "BounceBack Software" to be used in the event of a Hard Drive or Software Problem.  Note: It is not a necessity that this option be purchased at the time you purchase your laptop, however, it is much better to be Proactive, than Reactive. Please do not wait until you experience a problem before setting up some kind of a backup system...Trust us, that is the hardest way to learn the "I should have had a Backup" lesson..  The BounceBack software allows you to set up a backup schedule for anytime of day and on a recurring schedule from 1 to 30 days.  Another option is to just run your backup once...as soon as you get all of your software setup just the way you like it. Then back it up and you can always restore everything back to that point whenever a problem occurs.

An Instruction sheet will accompany the CMS Safety Hard Drive so that if your problem occurs during our Non-Business hours or if for some other reason you can't reach our technical department, you can just use the restore feature and return your computer back to its condition at the time of your last backup.  You can set your schedule to backup the entire drive or just specific files and folders.  We recommend backing up the entire drive once a month (IF your software does not have any apparent problems...you don't want to put the problems on your backup drive).

In the event that your internal hard drive completely fails, with the CMS drive you can open the portable case and remove the drive, then just replace the hard drive from your computer with the CMS drive, and now your backup drive becomes your main drive.  This allows you to send your "Problem Drive" and the now empty CMS hard drive enclosure back to our technical support department for repair or schedule an appointment to discuss the problem and possibly resolve it by phone during business hours at a convenient time for both of us.  Such repairs may incur repair charges depending on several factors - please call for details.  When you send us the "problem drive" we will repair or replace it as needed (The hard drive might still be covered under your warranty agreement).  When you get it back, just run a new backup and now your CMS drive is protecting you once again.  Note:  If you purchase this option with your laptop, we set up the software to run on a Monthly schedule by default.  If you purchase this option later, you will need to install the software yourself, however we can walk you through the details by telephone.

This option is for a duplicate Hard Drive set up for replacement of your existing Hard Drive in the event of a failure.

Note: This option must be purchased at the time you purchase your laptop. We set up the laptop and personalize it to your needs.  Any additional software options you add will also be included on the safety drive.  An instruction sheet will accompany the Hard Drive so that if your problem occurs during our Non-Business hours or if for some other reason you can't reach our technical department, just replace the hard drive, reload your backed up Patient Data and other saved Data, then continue working.  This allows you to send your "Problem Drive" back to our technical support department for repair or schedule an appointment to discuss the problem and possibly resolve it by phone during business hours at a convenient time for both of us. Such repairs may incur repair charges depending on several factors - please call for details.  Keep in mind that the original safety drive and the repaired original drive will be an exact duplicate of the drive in its original condition at the time of purchase.  For example, if you had purchased virus protection with a one-year license and the problem occurs 1-1/2 years after your purchase, the software will be outdated even if you extended your license on the software.  You will be responsible for updating such software after the repair or replacement.  Also Microsoft Windows updates will need to be reloaded.  Your Clasp program at time of purchase may have been the 10-10-05 version but at the time of the problem it may have been a newer version such as the 7-7-06 version...you may have to upgrade your software right away to get your patient data into the program.  This option may be a little "labor-intensive" however, it is a good option to get you back in a usable condition very quickly to minimize your downtime if a problem occurs. 

Note:  This option must be purchased WITH your laptop and can not be purchased at a later date. We firmly believe the CMS Bounceback Safety drive is a better, easier option to use however this is a lower cost option that we do make availble should you need it.
